Job Overview:
Middlewich Machinery is seeking a highly organised and detail-oriented individual to join our team as an Administration and Workshop Coordinator. The successful candidate will be responsible for a range of administrative and operational tasks to ensure the smooth running of the company’s workshop, efficient customer communication, and effective time management for the business owner. This role is pivotal in maintaining operational efficiency, financial management, and customer satisfaction.
Key Responsibilities:
- Bookkeeping: Maintain accurate financial records, process invoices, reconcile accounts, and prepare financial reports to support the company’s accounting functions.
- Credit Control: Monitor customer accounts to ensure timely payments, manage overdue accounts, and implement appropriate credit control measures.
- Managing the Workshop: Oversee the daily operations of the workshop, ensuring all jobs are scheduled, resources are allocated, and tasks are completed on time and to standard.
- Taking Phone Calls: Act as the first point of contact for incoming calls, handling customer inquiries, booking appointments, and providing information in a professional manner.
- Communicating with Customers for Service Work: Liaise with customers regarding ongoing and upcoming service work, ensuring clear communication on timelines, pricing, and job status.
- Managing the Owner’s Time: Assist the company owner with scheduling meetings, managing appointments, and prioritizing tasks to maximize efficiency and effectiveness.
- Creating Standard Operating Procedures (SOPs) for Workshop Jobs: Develop and document clear, concise SOPs for workshop activities to streamline processes, improve quality control, and ensure consistency.
Key Skills and Qualifications:
- Strong organizational and multitasking abilities
- Experience in bookkeeping and credit control
- Excellent communication skills, both written and verbal
- Ability to manage time effectively, both independently and for others
- Previous experience in workshop or operations management is a plus
- Proficient in Microsoft Office and accounting software
